This document includes a budget worksheet with directions for usage and an example retreat budget tab. All of the formulas are already entered in the orange cells. We recommend you leave the orange cells as they are, or you may skew your results.
In the first blue cell, enter the package rate from your contract, and in the first yellow cell, I recommend building your budget off your guaranteed minimum attendance. If you exceed the GM, you'll end up with a little more seed money for next year.
If your group is doing team building or a snack that is not part of your original contract add in those charges in the same fashion as the retreat package.
Next enter your program expenses. At the end it will show you the total cost per attendee with and without team building. Remember this is just what it costs per person, it hasn't yet taken into consideration any income sources, so its not the price you're going to set for your attendees quite yet.

Move down to the area labeled "Event Income Sheet," churches and organizations often subsidize a portion of each person's retreat or a lump some for the event. Next enter the charge for any premium activities for the retreat like team building, and the number of people you anticipate to participate.
If you plan to offer scharships for attendees enter the number of people in the yellow box between the two black boxes.
Finally if you're going to have a special fee just for event staff & volunteers enter their price in the blue box and the number of staff for the event. The orange boxes below will show you the price person you'll need to charge to break even, I recommend rounding up to the nearest dollar. The number or people that will need to come in at that rate, and the revenue it will produce.
The second tab of the document has an example retreat budget. Feel free to utilize that as a model for your retreat.
